Position : Associate Director
Reports to : Executive Director

Summary of Responsibilities : The Associate Director shares responsibility for support of the Pendle Hill Board and its committees and the administrative management of this school, retreat, and conference center with the Executive Director. Under the guidance of the Executive Director, the Associate Director will assume principal supervisory responsibility for several Board committees and departments, such as Dining and Hospitality Services and Education. The actual departments assigned may vary depending on the experience and qualifications of the applicant. The Associate Director will coordinate all hiring procedures and human resource issues for the organization.

Principal Duties :

Leadership - The Associate Director must be a strategic thinker who can work collaboratively to support the program and decisions of the Executive Director and the Board. The Associate Director must be able to provide leadership in assigned areas, including the development, implementation and evaluation of programs and services. The Associate Director acts on behalf of the Executive Director when she is away from campus. The Associate Director must also provide spiritual leadership and an ability to bring a spiritual perspective to administration and conflict resolution.

Staff supervision and Support – The Associate Director coordinates development of all position descriptions, hiring procedures, and performance evaluation. The Associate Director provides leadership in planning and implementation of staff orientation, staff development, and on-going training. The Associate Director provides direct supervision of managers of several departments, including coaching and supervisory training as needed. The Associate Director encourages effective and productive relationships among staff and a team approach to overall work, delegating specific responsibilities as appropriate.

Administrative Committee Support - The Associate Director provides support as requested to in-house administrative committees and to Board committees, including development of policy proposals in areas of responsibility.

Fiscal – The Associate Director develops and manages budgets within assigned areas. The Associate Director ensures fiscal integrity through oversight of budget and reporting process as assigned.

Public Relations and Development – The Associate Director represents the organization as requested and is prepared to travel on behalf of Pendle Hill to Quaker gatherings, as well as respond to all types of media.

Qualifications

  1. The Associate Director must be experienced in collaboration with others seeking to accomplish a common goal. Five or more years of leadership experience in a multi-faceted non-profit program required.
  2. Belief in and commitment to Spirit-led work, and the values, testimonies, and process of the Religious Society of Friends. Membership preferred.
  3. Demonstrated ability to lead a highly consultative style of decision-making. Ability to integrate organizational priorities and diverse perspectives.
  4. Demonstrated experience supervising and coaching diverse staff of widely varying experience and training. Preference for experience with second level supervision and supervision of non-exempt staff members.
  5. Demonstrated ability to express ideas clearly and concisely in speech and writing.
  6. Ability and willingness to attend evening and weekend meetings.
  7. Demonstrated ability to organize work, turn quickly from one task to another, use time effectively, work productively under pressure, take initiative and complete work independently, and meet deadlines. Demonstrated ability to work well with others.
  8. Computer proficiency required with word processing, spreadsheet, and internet software.
  9. Experience in higher education, fund-raising, and nonprofit Boards highly desirable.

POSITION: Administrative Assistant

REPORTS TO: Executive Director

 PURPOSE: The Administrative Assistant provides primary support to the Board of Trustees and the General Board, assists the Executive Director in Board relationships, and supports the Executive Director and Associate Director through a variety of other organizational activities and office tasks, including document preparation, storage and retrieval, and maintenance of an organized, welcoming environment. The Administrative Assistant plays a key public relations role for the organization, as the frequent first point of contact with key stakeholders and newcomers, alike.

 SPECIFIC DUTIES AND RESPONSIBILITIES:

 Support General Board and Board of Trustees

  • Provides comprehensive support for Boards and their committees, including collecting or creating correspondence, agendas, minutes, supporting documentation, orientation materials, etc., distributing and maintaining complete paper and electronic file copies of all.
  • Prepares annual program report, from materials provided by managers.
  • Ensures accuracy of contact information, Board and committee lists, together with data base manager.

Provide Administrative Support to Executive Director and Associate Director

  • Support for staff, committee, Board and other meetings and functions, such as agendas, minutes, report preparation, arrangements, communications/mailings, etc. Creates documents. Assists with material preparation, distribution, and paper and electronic filing. Exercises judgment in setting priorities.
  • Maintains and manages calendar for Executive Director. Prepares daily schedule and supporting materials; assists with daily follow-up.
  • Supports Associate Director in management of employment application process.
  • May serve as staff support to the Administrative Team, with responsibility for agenda, minutes, materials collection, notification of members, etc.
  • Collects and responds to mail and phone messages as requested; may research or develop responses.
  • Maintains strict confidentiality on personnel and other confidential areas of work.
  • Assists with travel arrangements, as needed.
  • Maintains tidy and welcoming reception and office areas in Director’s suite.

General

  • Initiates improvements in office procedures.
  • Welcomes visitors and maintains hospitable atmosphere in office, on campus, or in phone or electronic communication.
  • Other duties as requested.

DESIRED QUALIFICATIONS:

  • Excellent organizational, interpersonal, writing and telephone skills.
  • Demonstrated experience in administrative support of an individual or group.
  • Proficiency with computer programs, particularly Microsoft Word and Excel.
  • Well organized, with an eye for details while maintaining an overall perspective. Attention to consistency and accuracy within a diverse set of tasks essential.
  • Good judgment and discretion required in handling of confidential or sensitive matters. Ability to maintain confidentiality and professional manner.
  • Willingness to do routine work, to meet deadlines, and to work under pressure of deadline on occasion.

TIME EXPECTATION

This is a full-time, exempt job. The Pendle Hill work week is 40 hours, which may include daily/weekly community work and worship. Occasional evening and weekend work will be required.

POSITION: Director of Hospitality and Dining Services

REPORTS TO: Associate Director

PURPOSE: The Director of Hospitality and Dining Services ensures that Pendle Hill is a hospitable, safe, clean, and comfortable environment within which resident students, staff, and retreat and conference participants can explore the interconnections of faith and service. S/he provides leadership in all areas of hospitality, housekeeping, and food service, which comprise 8-12 staff.

DESIRED QUALIFICATIONS INCLUDE:

  • Knowledge of hospitality, food service, and housekeeping work and experience in some areas. Willingness to learn additional areas. Knowledge of conference centers an asset.

 SPECIFIC DUTIES include:

  • Providing for planning, staffing, scheduling and supervision of regular staff, interns, work scholars, and other part-time workers to accomplish the hospitality, housekeeping, and food service for the Pendle Hill campus.
  • Responsibility for stewardship, care, cleaning, and upkeep of the individual rooms, public spaces, and their furnishings on a campus with 16 buildings and a varying guest/resident population of 30–120 individuals.
  • Ensuring adequate communication within and between others involved in hospitality/housekeeping, food service, and conference services. This may include weekly meetings of several sub-groups, scheduling, and participating in the ‘on-call’ system.
  • Together with conference services and retreats personnel, planning for hospitality for all guests. Models Spirit-led hospitality in campus orientation, programs, and daily work for staff, students, sojourners, conferees, and any other visitors to Pendle Hill.
  • Working cooperatively with maintenance staff to plan for needed repairs and facility improvements.
  • Provides for health and safety needs, such as appropriate training and certification of staff and provision of first aid materials and signage for safety and health emergencies.
  • Interprets the household work program of the staff and student community, including campus work morning, individual household tasks, and meal service jobs. Provides for scheduling of tasks, evaluation of suitability of workers, and holding them accountable.
  • Plans budget and monitors expenditures for household, including all cleaning supplies and food service needs. Provides for purchase, inventory, and upkeep planning for furnishings. Provides for ordering of food and kitchen supplies. Provides for billing of sojourners and staff and student guests.
  • Works together with others in administrative and program planning to provide optimal coordination and accomplishment of goals of Pendle Hill. Participates in all staff meetings and in community meetings.
  • Provides leadership in the community worship and business affairs.
  • Other duties as requested.

TIME EXPECTATIONS: The Director of Hospitality and Dining Services is a full-time exempt staff member. Residence on the Pendle Hill campus is required.

POSITION : Cook/Lead Cook

REPORTS TO: Director of Hospitality and Dining Services

GENERAL SUMMARY

 All cooks at Pendle Hill see their job as a ministry of love and concern. Cooks share in the responsibility for planning and cooking three meals a day, year round, for a resident community, which varies in size from approximately 30 to 120 persons. The cooks also prepare meals for Conference Center groups (15 to 35 persons) on most weekends and some weekdays. While the Director of Operations has overall responsibility for kitchen operations and long-term strategy, the Head Cook will have the major responsibility for day-to-day kitchen management and supervision.

DESIRED QUALIFICATIONS

 Experience in kitchen management and cooking for large groups and a working knowledge of nutrition are very desirable. The ability to work under pressure, a willingness to be flexible, and the ability to work with a wide range of other people are important. Must be able to work irregular weekly and weekend hours.

Cooking and serving can be approached with love for the food we are given and those we serve, as well as with an awareness of our position in the process. An individual’s own abilities, interest, and vision should all find expression in the job.

Experience with the Religious Society of Friends is helpful. Regular participation in community Meeting for Worship is expected. Encouraging teammates to attend is also desired.

DUTIES AND RESPONSIBILITIES

 In addition to cooking meals, the Head Cook has lead responsibility for overall kitchen management including:

  • Coordinates overall kitchen operations with the Director of Operations.
  • Clerks the weekly cooks’ meetings.
  • Prepares and manages the kitchen budget.
  • Oversight of meal quality and menus.
  • Oversight of daily kitchen operation such as scheduling, ordering, invoice approval, and petty cash.
  • Oversight of organization and maintenance of kitchen and storerooms.
  • Interviews and makes recommendations about kitchen personnel to the Head of Operations and Executive Director.
  • Coordinates with other staff workgroups, especially Maintenance and Housekeeping/Hospitality, and the broader community regarding kitchen and food issues.
  • Oversight of the training and supervision of student helpers, work scholarship students, and work morning crews.
  • Oversight of vegetable garden and workers.
  • Responsible for submitting monthly pay requests to Business Office for all hourly workers.
  • Menu planning of nutritionally balanced meals.
  • Formulates reviews and maintains kitchen policies in cooperation with the Director of Operations.
  • Maintains standard of cleanliness.
  • Drafts Annual Reviews for kitchen staff and conducts review conference with the Director of Operations.
  • Coordinates volunteer workers around kitchen clean up.
  • Manage cell phone coverage.
  • Catering opportunities.

Nature of Cooking

Meal menus are generally planned by all cooks in consultation with extension program personnel. Entrees are rotated to include fish, fowl, meat, and vegetarian dishes. About half of the meals are meatless. A vegan option is always prepared for each meal for those community members (typically 25-30%) who are vegetarians and vegans. We try to promote good health and a sense of well-being by serving meals that are nutritionally balanced, using a limited amount of processed foods. We cook from “scratch” as much as possible, making our own bread, granola, yogurt, and salad dressings. Natural fresh foods are used extensively, including produce from our own garden in season. Desserts are not usually served.

POSITION: Education Program Intern

REPORTS TO: Dean of Students

PURPOSE: The primary responsibility is to provide administrative and programmatic support to the Dean, Assistant Dean, and Coordinator of Extended Educational Programs.

DESIRED QUALIFICATIONS INCLUDE:

  • Knowledge of Pendle Hill educational programs, including YALD (Young Adult Leadership Development) a plus

Specific Duties and Responsibilities:

  1.  Coordinate closely with the Assistant Dean to support the daily functioning of the Resident Program.
  2. Provide appropriate, practical, and programmatic support to Resident Program participants throughout the year. The EPI will offer particular support to students during opening and closing weeks of each term.
  3. Attend education planning meetings, general staff meetings, events meetings, and portions of the General Board meetings.
  4. Acquire and maintain knowledge of all facets of the Resident Program. Be creative in suggesting and developing systems that will increase smooth operations and general effectiveness – especially between departments.
  5. Maintain a Resident Program master calendar.
  6. Arrange some meetings, conference calls, and other appointments for the Dean, Assistant Dean, and Coordinator of Extended Educational Programs.
  7. Provide regular administrative assistance to the Coordinator of Extended Educational Programs in marketing efforts -- mailings, publicity distribution, research, and data management.
  8. Work closely with the Deans in preparations for the summer programs: YALD and the 4 th summer term*
  9. Up to one day a week, provide flexible administrative support to the general staff, particularly answering phone calls and inquiries from the general public.
  10. Special projects as assigned.

*If the applicant brings skills in young adult programming, there is a possibility of a summer shift in responsibilities to focus on the YALD program (would include additional compensation).

TIME EXPECTATIONS: The Education Program Intern is employed at Pendle Hill for a minimum of one year and a maximum of two years, 35 hours per week. The 35-hour workweek, on average, breaks down this way:

    1. EPI assignments: 30 hours per week
    2. Daily community job, or physical work to support the “household” at Pendle Hill, plus participation in the community work morning: about 5 hours per week.

Position: Full-time Maintenance Worker

Reports to: Director of Buildings and Grounds

The maintenance department is seeking a full time, residential staff person. This is a 40 hour per week position on a team of three. Additional on-call duty covering some nights and weekends is shared among the team. Together we are responsible for the maintenance and improvement of Pendle Hill’s buildings, grounds, and equipment.

Qualifications: We seek candidates with professional hands-on experience in at least some of the following areas and familiarity with others: plumbing, heating, and electrical systems; appliance and furniture repair; energy conservation; painting; mechanical equipment maintenance; carpentry; and preventive maintenance. A desire to learn new skills and an appreciation of Quaker worship and ways of working are desirable. A positive attitude towards long-range and ecologically sound planning is also desirable. The maintenance person is expected to take initiative in areas of competence and provide leadership in the student work program. In keeping with the spirit of Pendle Hill s/he should, ideally, have an ability to work easily with people and to relate in a sensitive and open manner. A sense of humor will of course be a helpful component of the tool box!

Salary and Benefits: Pendle Hill regular full-time staff members are appointed for one- year periods. We receive a modest cash salary and the following benefits: on-campus living quarters and meals; 20 paid vacation days and 10 paid holidays per year; group medical and dental insurance; and other benefits as described in the staff handbook.

Position: Organic Gardening/Cook Intern

Reports to: Interim Director of Operations or designee

PURPOSE: The Organic Garden/Cook Intern works with Pendle Hill’s regular staff to develop and maintain the seasonal organic gardens which provide produce for this retreat center and residential community ranging in size from 30-100 persons. The Intern also prepares meals for groups ranging in size from 15-100 persons, together with other cooks.

DESIRED QUALIFICATIONS INCLUDE:

  • Experience in cooking and gardening preferred. Ability to request guidance when needed.
  • Knowledge of nutrition, vegetarian and vegan meal plans desirable. Desire to cook from fresh and raw ingredients, making bread, yogurt, salad dressings, etc. from “scratch.”
  • High energy and ability to lift 50 pounds.
  • Capable of self-direction and independent completion of assigned tasks.
  • Desire to live in a community concerned with stewardship of the natural world and shared responsibility for daily life.

Position: Hospitality/Housekeeping Intern

Reports to: Interim Director of Operations or designee

PURPOSE: The Hospitality/Housekeeping Intern works with Pendle Hill’s regular staff to provide a hospitable, safe, clean, and comfortable environment for a retreat center and residential community ranging in size from 30-100 persons.

DESIRED QUALIFICATIONS INCLUDE:

  • Interest in hospitality and housekeeping work. Some experience preferred. Ability to request guidance when needed.
  • Ability to articulate a welcoming, Spirit-centered, approach to daily activity.
  • High energy and ability to lift 35 pounds. Able to be on feet 2 hours at a time, to mop large floors, to set tables and serve meals for 60 or more people, to bend and lift large heavy pots from a sink, to carry racks of dishes with 18 dinner plates, and to work in 90 degree weather.
  • Willingness to use household cleaners and disinfectants, to vacuum and dust, to clean bathrooms, and to wash and fold laundry.
  • Capable of self-direction and independent completion of assigned tasks.
  • Desire to live in a community concerned with stewardship of the natural world and shared responsibility for daily life. Ability to work well with others.
  • Flexibility and openness to changes in routine and to varied personalities.

TIME EXPECTATIONS: Hospitality/Housekeeping interns work a 35 hour work week, with 30 hours assigned to the primary responsibilities and about 5 hours per week allocated for daily/weekly community work which supports the “household” at Pendle Hill. This work requires weekend and holiday duty and irregular daily hours with two days off each week.

Position: Summer Grounds Interns (2)

Reports to: Building and Grounds Coordinator

PURPOSE: Summer Grounds workers assist Pendle Hill’s regular grounds and maintenance staff in maintaining the 23-acre, semi-wooded, campus with particular responsibility for lawn and garden care. The Pendle Hill grounds with their numerous flower beds require frequent weeding!

DESIRED QUALIFICATIONS INCLUDE:

  • Love of the out-of-doors.
  • Experience in, or willingness to learn, grounds care routines.
  • Ability to request guidance when needed.
  • Ability to lift 50 pounds.
  • Current Driver’s license.

The position will be held open until filled. First review of applications will begin April 1, 2008 . The position could start as soon as June 9, 2008 and end on August 30, 2008 .

COMPENSATION AND BENEFITS:

Stipend: Interns receive a monthly stipend of $550.

Room and Board: Pendle Hill will provide a single room on campus and three meals a day.

Although residence is not required, no additional stipend is available for other living arrangements.
